Parent Association Meeting Minutes

January 5, 2010

Call to Order:  Kristin Andrews

Members Present:  Rachel McGuire, Julie Udelhofen, Mrs. Avery, Mrs. Smith, Kristin Andrews, Lori Howard, Bradi Theilen, Maureen Leighty, Valarie Wollner

Committee Reports:
     Publicity- none
     Activity-  none
     Fundraiser- Julie had handout with new info.  from their meeting in December.  Discussion on whether or not to stay with Chip Shoppe and  it was decided that we would since the company was willing to help us in any way that they could.  Some new things we will be doing as part of the fundraiser will be:  Newman designing t- shirts that will be rewarded to each person that sells at least 10 items and those kids will be allowed to wear those shirts on top of their uniform shirts on scrip jean days, highest sellers from each class would be duct taped to the wall as part of a fun extra, and new inflatable’s are available to use for God’s Portion Day and the last day of school.  Julie will contact the company to let them know that we have committed to them and to schedule a meeting sometime before April to go over details and to decide on inflatable’s.

Old Business:
•    Discussion on middle school fundraiser with magazines, thoughts were that they should stick with that another year.
•    Lori has been working on setting up a date for a “Family Skate” @ the ice skating rink.  The cost would be $75- 100 with skate rental  $3/ea.  A date of February 14, 2- 4 p.m. was decided.  She would make some calls and let us know if that is final.
•    There will be no pizza @ half time basketball, but consider doing something else on Feb. 5.  Possibly doing a dance or face painting, free throw event, promote specific game(s).  Lori will contact people about these items and will email us to let us know what she finds out.

New Business:
•    Original Works- nothing has been discussed yet with the development office.  Will maybe be the 31st or the 6th.  We are planning on the 31st, Time:  12- 2.   Julie will have a table set up for ordering
•    There was some discussion on having an extra fundraiser @ conferences in March that would include vendors like Pampered Chef, Tastefully Simple, Silpada, etc. to come and set up during conferences, possibly in front hallway or gym.  This would need to be approved by the Development Office, once we have an answer we will then publish in newsletter to see if anyone who is a consultant would like to be a part of this.
?    Discussion was had on what to do with money earned; items such as smart boards were brought to our attention.  Jen Smith will show how smart boards work/how they’re utilized at our next meeting.

Committee Reports:

·         Publicity- Vonda- parent ambassador calls have been made, everyone contacted

·         Activity- Bradi- none

·         Fundraiser- Julie- need to talk with Lisa and Mark about resigning with the company/going over what is offered to us.  Julie, Mrs. Avery, and possibly Kristin try and meet with them in December so that a decision is made by January.

New Business:

·         Lori is looking into the ice skating rink as a family activity possibly in the Spring, end of February.  She will let us know what prices she comes up with.

·         Original Works- no longer providing paper, we have to buy it from them.  We will purchase from them as their price is a good.

·         Catholic Schools Week is the first week in February

·         Possibly do a small fundraiser with pizza/pop @ the last home basketball game on February 5, to get our group out in the public a little more.

·         Work on next year’s Fun Run a little earlier to have it be a part of the actual run.

·         During next conferences having some vendors such as Pampered Chef, Tastefully Simple, Tupperware, etc. to come and set up in the gym at the spring conferences.

·         Need to find an area that this money should go towards so that people are excited to earn for that reason. (Equipment, school supplies, etc.)

°         There will be NO meeting for Parent Association in December.  Next meeting will be January 5.

October 6, 2009

Treasurer Report:  Lori Howard- none

Committee Reports:

·         Publicity- none

·         Activity- none (Kristin will get Bradi info.)

·         Fundraiser- Julie- Pick up went well, but there was poor communication with the company

-          All money is in

-          Do we want to contract again for next yr.?  2% back if we contract again

-          Possibly do something like a bulb fundraiser, Julie had info. from different companies to look at

-          Development committee discussing a plan to replace the money that fundraiser brings in

 

New Business:

·         Mrs. Avery is looking for some parents to be a part of an interview for the State Accretitation group on Wednesday, October 14 from 3:30- 4:45.  Please contact Jan if you are able to participate

·         Please bring some bars, cookies, etc. for Conferences.  Please bring to office.

·         Julie looked into some other ideas similar to the Box Tops that Newman could do, there was some concern on mess, storage, and mailing.  Will talk to Jodi to see what she thinks

Old Business:

·         Kristin will talk with Lori about increasing our presence at events, possibly fun alley at God’s Portion Day

·         Julie could use some old t- shirts for craft for God’s Portion Day.  If you have some you would like to donate, please hand them off to her.

·         Kristin will follow up on Parent Ambassador- see if there has been any calls

·         Possibly going back to the homecoming event- will talk with Booster Club to see how their numbers went.  If not going back to homecoming then possibly try doing something during Catholic Schools Week, basketball game, or something in the winter.

·         Mrs. Avery is going to check on whether or not the Good Search is still in effect for internet searching.

September 8, 2009 – 6:00 pm.

Call to Order and reflection led by Jen Smith.

Members present:  Jen Smith, Bradi Theilen, Julie Udelhofen, Anne Mason, Vonda Sullivan, Lori Howard, Rachel McGuire

New Business:  PA meetings will change to the first Tuesday at 6:00 p.m. due to schedules conflicting.  Next meeting will be October 6th.

Volunteers are needed for the delivery of the fundraiser items on Saturday, September 26th.  Please contact Julie Udelhofen to sign up for a time.

Julie brought in information about a program for collecting used juice bags.  Discussion was tabled to next meeting so Mrs. Avery can weigh in.  This would be similar to the box top collections.

Vonda Sullivan agreed to be the publicity chair to replace Rachel McGuire who will become the Vice President.  Bradi Theilen agreed to be the activity chair.

Old Business:  Our tailgate will be held during a basketball game this winter instead of during football season.  We need to look at a schedule to figure out a date in January. 

The group decided it was important to bring back the Parent Ambassador program.  Vonda Sullivan will get the list of new families and determine if she needs help calling these families.  Discussion took place about what else we can do to help the families feel welcome and that they have someone to call if they have questions.  For the start of next year it was recommended that some type of meeting take place to get all the families together. 

Discussion took place about other types of activities for families that the PA could hold.  Lori Howard will call both the ice arena and the rolling skating rink to see how much it is to rent these for an afternoon or evening.  Also was discussed about bringing back some type of carnival event and a possible movie night in the gym.  Discussion will continue at upcoming meetings.

Julie will continue the information in the newsletters from the PA.  She wants to start a Teacher Feature every couple of weeks or once a month that will feature one of the teachers.  The group felt that was a great idea.

Recess went well with the volunteers and teachers.  Lori Howard is still looking for some more volunteer so please contact her if you can help out.

Lori Howard will be leading the running program for boys and girls after school.  Grades 3-6 can participate and the goal is get them excited about running and possibly run in God Portion Day Fun Run for kids.  The Fun Run will be new this year at God’s Portion Day.  Possible entry fees were discussed and will be determined at a later date.

The meeting was adjourned and the group worked on the counting and collecting the Fundraiser materials.
